With Zenbooker, you can easily add internal notes, pictures, and files to customers, jobs, and recurring bookings.
Internal notes are not shown to customers, and are only visible to other employees in your company who have the appropriate user permissions.
You can also upload and attach pictures and files to internal notes, which will be saved to the cloud and allow team members to view them from any device.
Note types
Notes can be saved to customers, recurring bookings, and individual jobs in Zenbooker. What a note is saved to affects where the note will be shown.
Customer Notes | Notes saved to a customer will automatically be synced to all past and future work scheduled for the customer. Additionally, a customer's notes can be found in their customer profile. |
Recurring Booking Notes | Notes saved to a recurring booking will automatically be synced to all jobs in the recurring series. |
Job Notes | Notes saved to a job are only linked to the job, and won't be synced with any other jobs scheduled for the customer. |
Creating a note
You can add notes when viewing a customer's profile, recurring booking, or individual job in the Zenbooker admin. You can also add a note when creating new jobs in the Zenbooker admin.
For example, to create a note when viewing a job in the Zenbooker admin, click the Add Note button in the in the Notes & files section of the job
Attaching files and images to a note
When creating or editing a note, you can also save files and pictures as part of it. You can upload multiple files and pictures to a single note. Pictures added to a note will display as thumbnails inside the note and can be clicked to load a larger version.
Files added to a note will display as links at the end of the note which can be clicked to download/open.
To add an image to a note, click the picture icon in the note editor. To add a file, click the paperclip icon.
Editing, deleting, and moving notes
After a note is created, the staff member who created it will be able to edit or delete it. Additionally, staff members with the account role of Manager can edit/delete notes created by any staff member.
Notes that are currently saved to a job can later be converted to a Customer note and moved to the customer's profile where they will then be visible for all jobs scheduled for the customer.
