Use skill tags to match the right providers to the right jobs

Updated this week

Overview

Skills are tags in Zenbooker that can be attached to service providers, services, and jobs.

  • When a skill is attached to a service provider, It represents a qualification or attribute the provider has.

  • When a skill is attached to a service or job, it represents a requirement for who is eligible to perform it.

Service providers

A skill tag added to a service provider may represent a particular skill that the worker possesses or a type of work they can perform. For example, a provider with the tag "Appliance Repair Tech" indicates they're qualified for service calls involving appliances.

To view or edit a service provider's skill tags:

  1. Go to Team from your Zenbooker admin

  2. Click on a Service Provider

  3. Scroll down to Skills

Services

A skill tag added to a service represents a requirement that will be added to all future jobs scheduled for that service. For example, a service for Dishwasher Repair might require the skill tag "Appliance Repair Tech."

To view or edit a service's required skills:

  1. Go to Services from your Zenbooker admin

  2. Click on a service

  3. Click on Team Requirements & Assignment Options

In addition to assigning skill tags directly to a service, you can also configure certain service modifiers to conditionally add skill tags based on the selections a customer makes during booking. This allows skill requirements to adjust dynamically depending on the specifics of the job. For example, if a service includes an option for "Gas Appliance Repair," selecting this modifier could automatically add a "Gas Certified Technician" skill tag to the job.

Jobs

When a new job is created, it will, by default, inherit any required skill tags attached to its service. You can manually remove or add skill tags to a job as you see fit.

For example, a job for Dishwasher Repair may be created with just the initial "Appliance Repair Tech" skill tag needed. However, if you realize the customer has several dogs, you might add an extra "Dog-friendly" skill tag to ensure it's assigned to a provider who can comfortably work with dogs.

To view or edit a job's required skills:

  1. Go to Jobs from your Zenbooker admin

  2. Click on a job

  3. View or edit the skills needed in the Team>Job Requirements section of the page

Skill tags and availability

  • If your availability policy is set to Based on service provider availability, then when a service with required skills is booked, Zenbooker will check to make sure providers have the needed skill tags when checking availability. This is found at Settings>Scheduling Policies>Location>Availability Options,

  • If your availability policy is instead set to Manual, then skills will not be taken into consideration when checking availability.

  • If the options 'Automatically Assign' or 'Automatically Offer' are turned on for a service, then Zenbooker will consider skills when jobs are offered or automatically assigned to your service providers.

Using skill tags to assign the best worker (or workers) to the job

By default, new jobs have no skill requirements. If the job's service has skill requirements defined when the job is first scheduled, those skill requirements will automatically be added to the job. You can always edit a job's skill requirements at any time.

When assigning a job manually, you can filter providers based on their skill tags

If a provider is missing skills, a warning icon will appear next to the provider's name.

Hovering over the icon will show which required skills the provider has (green) and which skills the provider is missing (dark grey)
