Instead of manually deciding which workers to assign to jobs, you can allow your workers to pick which jobs work best for them

Overview

Offering a job in Zenbooker shows eligible service providers in your account the general details of the type of work, date, and time. Those providers can then accept or pass on the job based on the service details and their preferences.

If a provider accepts an available job, they will be automatically assigned, and the job will be added to their schedule. The offer will automatically close once the required number of providers needed—for most jobs this is just 1—accept or are manually assigned. Offers also automatically close when unassigned jobs are canceled, completed, or are in the past.


Eligible service providers

A service provider is considered eligible for a job if all of the following conditions are met

  • "Can claim available job offers" is enabled in the provider’s profile

  • The provider is listed as a service provider in the job’s service territory.

    Note: this only applies if Service Territories are enabled for your account.

  • The service provider has all skill tags listed in the job’s skill requirements.

  • The provider has no overlapping work already on their schedule for the duration of the job.

  • The job is scheduled to start and end within the service provider’s scheduled availability.

    Note: If most of your service providers don’t have a regular schedule, this requirement can be turned off in Settings > Dispatch > Job Offers and selecting Allow providers to view/claim jobs outside of their work hours

How it works

  1. When a job is first offered, Zenbooker sends an email to eligible service providers with details about the job, and an option to view and accept it. You can customize or disable this email in Settings > Client & Team Notifications > Job offers

  2. Service providers can also view all jobs currently available to them anytime in the Available Jobs tab of the Zenbooker mobile web app

  3. A service provider’s eligibility for a job is updated in real time. For example, a provider might initially be eligible for two overlapping jobs. If they accept either job, they will no longer be eligible for the other one, as they won’t be considered available for it. Additionally, if a provider no longer has the required skill tags attached to the job, they will no longer be able to view or accept it.

Offering a job

  1. Click on a upcoming, unassigned job in Zenbooker.

  2. In the Team card toggle on "Offer job to service providers"

    When a service provider accepts an offered job, they will automatically be assigned, and a "Claimed" badge will appear next to their name in the list of assigned providers. If the required number of workers needed has been reached, then the job offer will also will turn off.
