Calendar Syncing for Service Providers

Allow your service providers to sync their Zenbooker assignments to their personal calendar.

Updated over 2 years ago

Overview

You can allow your service providers to sync their assigned jobs to their Google Calendar, Outlook, or Apple Calendar.

How it works:

Service Provider Calendar Sync allows your Service Providers to subscribe to an iCalendar feed of all jobs that have been assigned to them in Zenbooker — making it possible for them sync their assigned jobs with external calendar services like Google Calendar, Apple Calendar, and Outlook.

When enabled, service providers are able to set up calendar syncing by going to the Settings tab of their team member account.

Example of a service provider syncing their assigned jobs to their Apple Calendar

Some things to keep in mind:

  • Calendar syncing is one-way, meaning Zenbooker will only sync assigned jobs to the calendars of your service providers.

  • Syncing is not real-time and is dependent on how often the service provider's calendar app fetches their schedule from Zenbooker. For example, Google Calendar will only pull information from Zenbooker approximately every 12 hours, with no option to manually refresh the calendar or run a re-sync. Whereas some calendar apps allow you to customize how often data should be refreshed, like Apple's Calendar app (which can be set to resync every 15 minutes).

  • By default, Zenbooker syncs the customer name, job address, service name, and any job fields (selected service modifier options and answers to intake questions) when syncing assigned jobs to a service provider's calendar.

  • Additionally, if the service provider's user permissions allow them to see the customer's contact info for assigned work, then the customer's phone number and email will also be synced to the provider's calendar.

How to enable Calendar Syncing for Service Providers in your Zenbooker account:

  1. Go to Settings > Calendar Syncing from your Zenbooker admin on a desktop. (Note: Only the account admin and users with the role of "manager" are able to edit calendar sync settings).

  2. Scroll down to Service Provider Calendar Sync and toggle it on.

  3. You'll then be able to see which providers have set up calendar syncing and which providers haven't yet.
